Credit Card Reconciliation Workflow Improvements

 

Scenario 1: Adding Fees

1. Configuration: a credit card account with multiple cards under it

2. Open the Card Detail window to reconcile the first card

3. See on the statement that a fee was charged to that card

 

Current steps to add a fee:

- Close the Card Detail Window to get to the Other Adjustments screen

- Enter the Adjustment (including picking the card number it applies to)

- Go back into Card Detail to continue reconciling the card

 

Proposed change:

The Card Detail window should have a button to add an Adjustment and that card’s number should be filled in automatically on the entry screen

 


Scenario 2: Adding Invoices

1. Configuration: a credit card account with multiple cards under it

2. Open the Card Detail window to reconcile the first card

3. See that a transaction is missing (person did not turn in receipt so it was not entered)

 

The statement gives you the major components needed for invoice entry: dates, vendor, and amount. It does not having coding of cost, but in some cases it’s obvious (gas) or we have procedures that dictate how “missing receipts” are coded

 

Current steps to add invoice:

- Close the Card Detail Window

- Exit the reconciliation

- Go in to AP and enter and post the invoice

- Go back into the reconciliation

- Go back into Card Detail to continue reconciling the card

 

Proposed change:

Have a button that allows you to enter an Invoice directly from the Card Detail Window.

 

It would be a hybrid of functionality between the Other Adjustments entry/posting capabilities and other entry screens that allow on-the-fly additions (Like Invoice Entry allowing you to add a vendor without having to exit the entry screen).
