Creating WO's attached to Service Contracts - ability to add SC work order within WO

Currently we have several ways of renewing our service contracts. One is to send out invoicing for the service contracts that we show in the system need to be renewed, another is the customer calling in to renew their contract and schedule the initial visit, lastly is the service tech selling a service contract in the field.

When the homeowner mails back the invoicing with a check the service is two maintenance visits. When we receive payment we set up two scheduled visits on the contract. This contract may renew in February and their first visit will not occur until spring. Currently we set that first visit scheduled date to the third Sunday in July and the second visit’s scheduled date is the third Sunday in December. We do this so that we can pull reports of customers who have not scheduled their calls and proactively call them when the schedule is light. We then go back to the billing tab and create the earned revenue schedule.

When the customer calls in to schedule a visit we are creating the WO through service contract and then going into the WO and changing the scheduled date so it falls on our dispatch board correctly. We are then going into the contract and to the Earned Revenue Schedule and changing that date to match the scheduled date on the WO so that we are earning the revenue at the same time we are generating the cost. This is slowing down the call taker from a very quick call to a lengthier call. If the customer calls in to change their scheduled date, we are able to change the WO schedule date and the Earned Revenue Scheduled date in service request. We are considering having the service billing person go into every WO prior to billing and going into edit the site and then edit the contract to verify that the earned date matches that of the actual schedule date of the WO.

 

What we see as being helpful is that when a WO is created through Service Contract and the schedule date on that WO is changed, this would also update the scheduled date on the Service Contract Visits as well as the Earned Revenue Scheduled Date. We would also like to earn our revenue by a date range as opposed to period and year. We would like to know in Mid-April where we are as opposed to running it the end of April.

In Service Request we can literally do everything except for create our WO’s that are attached to Service Contracts. It would be immensely helpful that when taking a service call and the customer wants to renew their contract and schedule the first visit, or simply schedule the first visit of an existing contract that they could be generated by that site right there in that service request screen as opposed to going into another module (service contract) to do that.

We have also ran into the issue of a tech is at a customers house and sells a service contract and performs that first maintenance right then. We create the contract, create a new WO through contract and move his labor and materials to that new WO number. It would be helpful to attach the existing WO to the maintenance contract instead.
