My company used have program Maxwell and when you void a check you have this option to mark to a box to have invoice added back into AP or have box unchecked to not have invoice added back into AP. It's extra to have to reverse the invoice after voiding a check when you don't want the invoice to be added back into AP because it's not going to be paid.

I'm not exactly sure how Maxwell work either. I just know that when I would have to void a check because our estimator no longer need the check to pay for a permit. When I void the check, it automatically puts the invoice back into AP to be paid again. In order for me to get this out of AP, I have to create a credit memo. Because with it having a payment history I don't think I'd be able to reverse the invoice, correct? I can't remember if I tried that or not. I don't have one to test it out at the moment.
So the ask is that when you void the check, the system also creates a credit memo?
We don't have that as one step, but the void will create a posted invoice...and then it can be reversed from there. Not sure how Maxwell worked, but if they created the credit memo in the background, it would be great under GAAP. But if it just deleted it out, I'd have issues with that.
