Ability to create new ACH File while "Voiding" Direct Deposit Check

Though there is no way to "Void" a direct deposit check besides issuing a replacement check, I wish there was a way to re-issue an ACH file with a new date when issuing said replacement check. Currently you can only reissue check as a live replacement.

      Voiding auto deposit checks in the way now available as of 2024 R1 is an improvement which I'm sure customers doing in-house payroll on Spectrum appreciate.


      Taking it a step further would fully address this person's concern, which I share. As a new Spectrum user converted from Sage 300 CRE, I encountered the current level of functionality in this area and found myself wishing for more.


      I can think of a few of avenues by which to accomplish that goal:

      1. Expand functionality of the Replacement Check Screen to provide the ability to generate NACHA files.

      2. Expand functionality of the Replacement Check Screen to include a "Replace with Auto Deposit" checkbox. When checked, the following changes to the established workflow will occur:

        1. The way void check records move will be unchanged.

        2. Manual check records will be exported to Pre-timecard entry with the check type box marked as "Regular" instead of "Manual".

        This will enable the user to transfer the regular pre-timecards to the pay cycle instead of re-entering them all.

      3. Create a new screen called "Replacement Auto Deposit Check". The new screen will behave similarly to the Replacement Check screen except for the criteria listed in 2. (a). and (b).

      4. Enable the user to change the check type on records transferred from the Pretimecard Screen to the Pay Cycle. This is less ideal, as the user would have to open every record and change the check type from manual to regular. It is, however, preferable to keying in those records themself, as this process would be less error-prone.


      Importance and value of proposed functionality:

      1. Most payroll is done via auto deposit.

      2. In Construction, getting checks to employees on jobsites (which can be several hours from the office issuing the check) is difficult.

      3. There are genuine and periodic problems requiring auto deposits to be replaced. For example:

        1. Incorrectly entered deposit which wasn't tested by prenote before being activated.

        2. An employee's account was cancelled due to fraud. Funds were returned by their financial institution.

        3. An employee lost or did not receive their check(s). Finally, the employee signed up for auto deposit. They want their check(s) replaced by auto deposit.

        4. An employee changed accounts and forgot to notify the employer.

        5. The employer made a mistake and had to recall the funds. Most of the check record is the same, but a couple of changes need to be made and it needs to be reissued.

      Hello!

      If you use the Replacement Check method, your option is a manual paper check only.

      If you void and reissue the check in a pay cycle, you could send it via ACH/NACHA. Granted, it requires you to reenter the time for this option.

      Does this enable the user to issue a replacement auto deposit including a NACHA file for the replacement auto deposit?

      Happy to report that in 2024 R1, you will be able to void auto deposit checks just like you do any other ones!


      2024 R1 will be available to all around 5/7/2024.
